COURSE NAME: Project Management Essentials

COURSE LENGTH: 5 days
COURSE DESCRIPTION:
Learners accessing this standard will be involved in project management teams or involved in building small project management teams. These projects may be technical projects, business projects or developmental projects and will cut across a range of economic sectors. This standard will also add value to learners who are running their own business and recognize that project management forms an integral component of any business.

Learners accessing this standard will be working as a leader in the context of a small project / sub-project involving few resources and having a limited impact on stakeholders and the environment or working as a contributing team member on a medium to large project when not a leader

The person credited with this unit standard is able to explain, execute and communicate project change processes and status, as well as maintain project libraries and organizational information

COURSE PURPOSE:
The learner will acquire the following knowledge, skills and attitudes after completion of this course:

  •  Demonstrating an understanding of project management tools.
  •  Using a range of project management tools.
  •  Applying corrective action steps where project management tools and techniques usage problems occur
  •  Executing processes and standards to support project change control
  •  Updating and communicating status of change requests
  •  Administering the project library / repository to support change to affected items
  •  Maintaining project organizational information

LEARNING ASSUMED TO BE IN PLACE:

  •  Mathematics at NQF level 4
  •  Communication skills at NQF level 4
  •  Computer literacy and applicable software at NQF level 4
  •  ID 120372 – Explain fundamentals of project management
  •  ID 120376 – Conduct project documentation management to support project processes

ESSENTIAL EMBEDDED KNOWLEDGE:

  •  The purpose of project management tools and techniques.
  •  The use of various project management tools and techniques.
  •  The use of computerized tools for specific applications.
  •  The various types and uses of project management tools and techniques available

TEACHING METHODOLOGY:

  •  Interactive learning based on outcome-based education approaching
  •  Facilitation approach during classroom training
  •  Formative assessments during training incl. group work, role plays, demonstrations, pair work,debates, case studies
  •  Visual aids – the use of multiple visual aids are promoted incl. slides, whiteboard, flipchart, video,
    audio
  •  Questioning techniques used – open-ended questions, discussions, analyzing, comparisons, own opinions, conflict resolution, work-based examples, clarifications
  •  Assessments – formative assessments (during training), post assessments (building of Portfolio of
    Evidence and completing a Workplace Journal)

COURSE OUTLINE:
Learning unit 1: Understanding Project Management tools and techniques
Module 1: Identify and explain a range of tools and techniques used on a project according to the
project requirements
Module 2: Explain the limitations and advantages of project management tools and techniques
Module 3: Provide examples for the usage of project management tools and techniques

Learning unit 2: Use a range of project management tools and techniques
Module 1: Use project management tools and techniques in accordance to established standards and
procedures
Module 2: The outputs of the project management tools and techniques meet the individual, team
and organizational needs and requirements

Learning unit 3: Corrective actions steps
Module 1: Identify problems in the usage of project management tools and techniques against the
requirements of the project
Module 2: Identify and develop solutions in consultation with higher authority
Module 3: Implement agreed and authorized solutions according to the Action Plan

Learning unit 4: Execute processes and standards to support project change control
Module 1: Use Project change control processes according to policies and procedures
Module 2: Procedure for initiating project change request is communicated to relevant stakeholders
using appropriate communication techniques
Module 3: Procedures and templates are available to request a change on a project
Module 4: Log and file of project change requests are maintained according to procedures
Module 5: Status of project change requests is followed-up, using agreed procedures

Learning unit 5: Update and communicate status of change requests
Module 1: Status of project change requests are recorded and reported on using agreed procedures
Module 2: Tracking, recording and reporting of status of change requests are completed using
agreed procedures
Module 3: Communication with impacted stakeholders is completed within agreed procedures

Learning unit 6: Administer the project library/repository to support change to  affected items
Module 1: Project library / repository is administered to agreed procedures and standards
Module 2: Change of approved documents or items is undertaken after gaining authorization and
approval
Module 3: Changed documents or items are redistributed and communicated to relevant stakeholders
using appropriate communication techniques
Module 4: Relevant individuals are informed of proposed and actual changes – The project library /
repository may also be called a knowledge base

Learning unit 7: Maintain project organizational information
Module 1: Project organization (structure) information records are maintained in accordance with
procedures
Module 2: Communication plans, distribution lists and/or project member directories are recorded,
utilized and maintained according to project needs
Module 3: Project staff and / or consultant information records are maintained in accordance with
instructions – personal details, skills profile and availability
